AML Exemption Granting Process
The first thing to note, is any Calmony Clients will be able to add, and pay, whoever they want during their first 45 days of using the account. (We class you as 'Using the account' from when you make your first payment out)
45 days after the client is using their account – AML checks, or exemptions will be required on any new payees, that have never been paid before.
If you would like to do a new AML check through our system you can, or you can do one yourselves. If you have already done one, you can just request an AML exemption. Please see below for details on both options.
Griffin Accounts/Clients will have no Grace period, and will need to request AML exemptions from the start. You cannot request Exemptions for Landlords - these have to be Griffin Verified (see Griffin Verify article for further information).
Sending AML Checks
You can send Credas AML checks to clients through the system via the payee list, or person record and 'Actions' - 'AML & ID Check';
Once the recipient completes the check, this will automatically update on the system as either 'Submitted' or 'Completed'. If completed, the AML infographic will turn green, and show 'Check Passed', and the client can then pay that person.
If the check is submitted, but we need to check something before it can be passed, it will show;
The Support team go through these every day, and reach out to clients in this case. Just message the support team to request an update.
AML Checks start at £2.50 but go down based on the price plan you are on (plans found here), or go up, based on the number of additional checks ordered.
AML Exemptions
Firstly, Limited Companies, Local Authorities, Deposit Schemes etc are all exempt from AML checks. However you will still have to request an exemption, and you will still have to confirm some details.
You will need request AML Exemptions from the Calmony app/site against the payee (or person profile if using OS) - ‘Actions’ - 'Request Calmony AML Exemption’;
Types of exemptions requests, and what is required to approve them:
Individual Landlords (Modulr Only - Griffin have to Verify separately.)
- Copy of their ID/AML check. (If they provide a third party AML report, a copy of their ID must be visible on it.
- Bank Account CoP Check needs to match the ID/AML provided
- Joint Account Owners, only one person needs to be checked.
- If we are unable to CoP check the bank details, ask the client to send in the top of the landlord's bank statement. We don't need to see entries, just enough to show the name, address, and bank details belong to the person that the AML exemption is being requested for.
Limited Companies
- You will need to provide the company number, which needs to checked that it is an active company.
- The Bank account name needs to match the company name when CoP Checked.
Sole Traders
- If they are VAT registered, they can provide their VAT, which can be checked.
- The account in question then needs to be a 'Business Account', and match the above trading name.
- If they are not VAT Registered, they can provide a copy of an invoice from that company, confirming their bank details.
- The Bank Account name needs to match the company name, or the Sole Traders name, and be a Business Account.
- If they are using a Personal Bank Account, they need to provide Valid, Photographic ID that matches that account.
Tenants
- Tenants are exempt from exemptions (Meaning they don't have to be checked) - We would just need to check account details match.
- If there is no corresponding payment in or, the bank details for return payment is different - client will need to provide ID.
Deposit Schemes
- These are exempt - just CoP check the account to ensure it is in the name of a deposit scheme.
*Note - DPS (Deposit Protection Service) is called Computershare Investor Services PLC.
Local Authorities
- Councils etc are also exempt - Just CoP Check account to ensure it matches council name.
Trading/Other accounts owned by the client
- Any trading/business/other client/any other account owned by our client is also exempt, as we have already completed our checks on them.
How to request AML exemption:
In order to request AML exemption, please select 'Actions' and 'Request AML Exemption' from your Payee:
Can then attach relevant documents to this Request, or AML check if you have done one seperatley, as long as phot ID is visible.
All AML Exemption requests come through to a report on our end which we action twice a day, once in the morning roughly 10-10.30am, and once in afternoon, 3.30-4pm.
Once Authorised/declined you will receive an e-mail to confirm is it approved or to advise reason for decline.
