Useful Plugins for inspections
You can set your interim inspection frequencies onto your tenancies so that the system can prompt you with reminders in the in-tray as well as allowing you to refer to your Inspections Becoming Due report to see what is upcoming.
*Please note, next inspection dates can only be set on active tenancies. If an Inspection is missed, the date will skip ahead to the next one in the recurrence.
To set the tenancy frequency
Please bring up the tenancy page and then click "Edit" in the top right hand side of the page
Select the tab for Inventory Inspections Deposits
Inspection Recurrence is how often within the selected period in which you would like to be reminded of the inspection.
Inspection Recurrence Type is the defined period. For Example:
Type > 'Weekly' and Recurrence of 2 means an inspection every 2 weeks.
Type > 'Monthly' and Recurrence of 4 means an inspection every 4 months.
Type > 'Quarterly' and Recurrence of 1, means an inspection every quarter.
Type > 'Yearly' and Recurrence of 1, means an inspection every year.
To Add an inspection onto the system
Bring up the tenancy by searching for the address via the search bar
Once you are in the tenancy profile, you will need to click onto the Interim Inspections option on the left hand ladder
You can enter your own title for inspection and you can add the date that you have carried out the inspection. The system will autofill the Next inspection due for you. You can also overrride this date if you wish.
The outcome field is there for you to enter your notes from the property
The recommendation is what you think needs to be done at the property
Click the Add button to save your inspection
Please click onto the inspection which should now appear on the bottom half of the page - anywhere along the line where the red rick shows will open up the inspection itself. To the left hand ladder you will see the option for photos.
You will also see a tab for any inspection notes which you'd like to apply for yourself as the agent.
Click Save and Close to Complete.
To send the Inspection Report out to the landlord/tenant, you must click onto the actions button on the inspection you have added this will give you the option to send. This will send the letter to the postbag for authorisation.
Please note that adding an inspection does not update the next inspection due date. This is scheduled automatically according to the Next Inspection Due date.
To see the inspection reminders in your inbox
Please go to the inbox at the top of your dashboard you have the 'Interim Inspections' folder on the left hand ladder at
Please click into the appropriate folder and set the filters accordingly.
