Tenants and Closed tenancies will not appear in the general search functions. The steps below will show you how to link payments into, and out from tenants on closed tenancies.
You will first need to Find the tenants profile. If you know the Property address they were resident at, you can find them by going to that property, and into the tenancies section in the left hand ladder.
Finding the Tenant
If you don't know the property address you will need to go to the tenants list in the letting section
From here you will be able to search all tenants you have added to the system. Ensure the "Exclude Closed Tenancies" toggle is set to "No", and you can use either the name filter, or the search filter here to find them
Making or Taking a Payment
Once on the tenants Profile if you've received a payment you will need to use the action "Take a Payment", and enter the details of the funds received.
You will then need to go to your Bank account and make a deposit. Which will create a payment group.
If you need to make a payment to a tenant, closed tenants will appear in your pay people in credit and can be picked up as part of your payment runs,
If you've already made the payment, and just need to reconcile it, go to the tenants profile and use the action from the tenants drop down to "Make a Payment". This will create the payment group for you.
Linking the Payment
Once you have your payment group, you can go back to your transaction and link it to the payment group as "Payment or Deposit.
Select the payment group you created earlier and link
Once linked it can be posted as per any other transaction.
