Branded Emails
Branded emails is a service that we offer that allows you to change the email addresses used on your system for sending and receiving emails.
Out of the box, you are given a company and branch email address. Additional email addresses are then added for each staff member added to the system. Further email addresses can be added.
As these are the default, out of the box email addresses, they do not conform to your brand. The addresses consist of your company's short name (The name given to your company when you were first given access to the system) and home.letmc.com.
Example
Preceding the company short name (agentosletting in this example) is the Email Address Name, which can be customised. For staff members, an email address is automatically created when their user account is created. The name of the email address for a staff member will be the Username specified on creation.
If you choose to use the branded emails service, the email addresses that you use will be branded with your company/marketing name (Domain name; agentoslettingagents.co.uk in this example).
Technical Jargon
It can sometimes be difficult to get your head around the technical terms used with emails and domains.
Where possible, we advise that you consult with your IT administrator (If applicable), or consult your domain hosts' support knowledgebase on the changes that need to be made and whether or not the option you have chosen is best for you.
If you already have a domain set up for business use, you may be better off using a different domain for use with agentOS.
When you choose to utilise branded emails, instructions will be sent to you on what changes need to be made to your domain. Dependent on which option you choose, there will be at most two changes needed.
The first change to be made is to point your MX Record to our mail server. Pointing your domain's MX Record to our mail server means that any emails sent to your email address will be routed into agentOS (Your In Tray).
The second change to be made is to add a TXT Record to your domain. agentOS runs off of Amazon AWS technology and one of the services that we use is Amazon SES. Amazon SES is Amazon's email platform that enables companies to send a high volume of emails. We utilise Amazon SES to send emails from agentOS (Even if you're not using branded emails, Amazon SES is still utilised). The addition of a TXT Record marks Amazon SES as a verified sender of email on your domain. Without this TXT Record, you will not be able to send emails from agentOS.
At no point do we host your domain. After the necessary changes have been made, your domain will continue to be hosted by your chosen domain host (Fasthosts, Go Daddy, 1&1 etc...). We do not manage your domain, day to day management of your domain will remain in the hands of your IT Administrator or yourself. It is important that you ensure the changes made to the domain remain in place, otherwise, email deliverability will suffer.
Branded Emails - Options
There are two options available to you when it comes to branded emails; Send & Receive Only and Send Only.
Send & Receive Only
The main option available to you and the one most commonly used results in 100% of emails sent to and received by your custom email addresses passing through agentOS.
There are two changes required to your domain, detailed above; Update the MX Record and add a TXT Record.
This option will route all incoming emails sent to your custom address into agentOS and all emails sent from agentOS will use your custom address.
Send Only
The second option available to you and the best option if you wish to keep your current email infrastructure intact.
There is only one change required to your domain; Add a TXT Record.
Send Only means that you can send emails using your custom address, but any replies will be routed back to your current inbox and will not be received into agentOS (Your In Tray).
