Bank Accounts: Draw Down Reports
We've added an option to Bank Accounts that will automatically download and store your Paid and Unpaid Draw Down Reports when Draw Down Paid Sales is completed, allowing you to access them again in future as required. You'll find the option in the left-hand ladder of each account, underneath Draw Down Paid Sales.
Please note that only Draw Downs processed after this software release will show in this section, and the section will only populate for clients using the Paid Sales Draw Down method. If you currently use the Classic Draw Down method and would like to make use of the new reports section, please speak to our Support team to discuss switching over.
Progression Checklists: Due Date
A Due Date option has been added to Progression Checklists within Service Types for both Sales Instructions and Tenancies. This will allow you to set a number of Due Days after a progression item is triggered, and this will populate a date automatically based on the number of days that have been entered. These dates will show within the instruction itself, and in the overall ToDo List.
You can define the Checklist items and their Due Days from within the Sales Service Types (Sales) or Service Types (Lettings) in Object Types. For example, if you wanted a reminder to call a Vendor two days after their property is Advertised, you could set your item accordingly:
When a property on that service is then set to Advertised, the progression item will trigger and the Due Date will populate through automatically, two days on from the date the status was changed to show Advertised on the system:
To change or remove a Due Date that has been populated, click into the item in the Checklist on your instruction and click to Edit.
Linked Documents
We've added a new option in the left-hand ladder of all records called Linked Documents, and a new function that allows you to manually link Saved Documents that are held on one record to show in the Linked Documents section of another.
To link a document, go to the Saved Documents section on the record where the document you'd like to link is currently uploaded. In the Actions option to the right of the document, you'll see a new option to Link Document.
This will prompt you to choose the other record that you'd like this document to be linked to. Documents can be manually linked to the following record types:
- Person
- Lettings Property
- Tenancy
- Sales Instruction
- Sales Offer
- Maintenance Job
- Maintenance Certificate
Once linked, you'll see them in that record's Linked Documents section.
Sales Instructions: Automatically Linked Documents
In addition to the manual option mentioned above, we've added a further section to Sales Instructions under the same Linked Documents ladder option for Automatically Linked Documents, which you'll see above the section for any documents linked manually.
Any Saved Documents that are uploaded to a linked Sales Offer or Maintenance Job connected to the same Sales Instruction will automatically appear in this section, without the need to manually upload anything.
Improvements
AML Checks: Name change to include Right to Rent
The AML & ID Check options across the system have been renamed as AML, R2R & ID Checks to clarify that Right to Rent Checks are also available through these options.
Properties: Room Description Character Limit
Following feedback from portal providers, a limit of 1000 characters has been introduced on Room descriptions to meet their specification for advertising.
Bugs/Defects
Tenancies: Date Specific Auto Charges
A bug where the ability to edit the date on an existing Date Specific Auto Charge was missing has been fixed, and new options have been added to the Actions of the charge to Update Due Date or Remove Due Date.
As part of this fix, we have also added validation to this field for acceptable date values, and a Due Date column has been added to the Auto Charges grid to show the date of a charge more clearly.
Tenancies: Archive Closed Tenancies
An issue where an error was generated on trying to Archive a Closed Tenancy has been resolved.
Addresses: Default Country when Editing
A bug where editing some addresses reverted the country list to alphabetical order and showed Afghanistan as the default has been resolved.
