Online Brochures

We've recently launched an Online Brochure function that can be used on Sales Instructions, Lettings Properties and Tenancies, and in this release we've integrated these into agentOS itself, along with options to Share these brochures through Email and SMS from the system, as well as via copying the link to the external brochure page to use elsewhere as required.

When loading a Sales Instruction, Lettings Property or a Tenancy, you'll now land on the Online Brochure page by default, with a preview of that brochure available on the right, next to the existing left-hand ladder options. 

On the top right-hand side you'll see a new Share function, next to your Actions and Edit options. This will allow you to share the brochure details by email or SMS, open the brochure in a new browser tab to view it, or to copy the URL link to the brochure itself.

The options to Share by Email and Share by SMS can also be found in the Actions menu in Sales Instructions and Tenancies.

When a brochure is clicked on anywhere via the view in agentOS, it will open it in a new browser tab for you automatically.

Please note: Brochures shown on Lettings Property records are taken from the most recent Tenancy record attached to that property. The brochure page will be blank if a property has no tenancies attached to it.

Online Brochures: Email and SMS Templates

New Share Brochure default templates have been added to the existing Email Templates and SMS Template sections under Office, from there you can edit the default wording as required, as well as being able to add any additional templates you may wish to use when sharing the brochure - just use the Share Brochure template type when adding these and multiple templates will then appear when using the new option to share.

As part of this, we've also added the following Email/SMS tags for you to use in these templates to bring in the brochure information as required:

Online Brochures: Overrides

We've added overrides for some elements of the new Online Brochure functionality to make things more flexible in how you decide to use them.

Company Settings Overrides: System Details

In the System Details section of Company Settings, we've added options to send the new Online Brochure details to real-time property portals, or to Enable or Disable the Online Brochures entirely. 

Company Settings Overrides: Online Brochure

In the Online Brochure section of Company Settings, two new options have been added to Show Sales Overview as Default and Show Lettings Overview as Default. If these are selected, the existing Overview page (formerly known as Infographics on Lettings) is prioritised over the Online Brochure and shown as the default landing page, moving the Online Brochure to the second in the left-hand ladder list.

Sales Instruction & Tenancy Overrides: Online Brochure Control

In an individual Sales Instruction or Tenancy, you'll find options for Online Brochure Control under Marketing/Marketing Details, where you can Hide the Online Brochure completely for that record, or you can keep it visible but Hide the Room details, Photo Names, or both from what is produced. 

Please note: These options control the Online Brochure that is produced, this will not change the visibility of the Online Brochure section on agentOS itself.

N.B. Brochures shown on Lettings Property records are taken from the most recent Tenancy record. To hide elements or the brochure entirely please use the overrides on the Tenancy record.

Sales Instruction & Tenancy Overrides: Send PDF Brochure

If you have Online Brochures enabled but you have a request to send a PDF brochure to property portals for a specific Sales Instruction or Tenancy, you can use the Send PDF Brochure override to do so.

Please note: This override will only work if the Company Settings for Online Brochure Enabled and Send Online Brochure to Portals are active.

Vendor & Landlord Overrides: Disable Online Brochure

We've added an option to Disable Online Brochure to the Actions of a Vendor or Landlord record. When selected this will stop Online Brochures from being produced for any of that Vendor or Landlord's linked instructions.

Please note: This option controls if the Online Brochure is produced for this person's instructions, this will not change the visibility of the Online Brochure section on agentOS itself.

N.B. In the case of joint ownership, if any one Vendor or Landlord that owns a property is set as having Online Brochures disabled then the brochure will not be produced for that instruction, regardless of the setting status on the profiles of the other owners.

Improvements

Lettings: Infographics

As part of the changes to introduce Online Brochures, the Infographics pages found on Lettings records have been renamed to Overview, to match those found on Sales records.

Maintenance Jobs: Source

We've updated the Source dropdown in Maintenance Jobs to change Fixflo to TenantApp/Fixflo to reflect an upcoming new option for recording Maintenance Jobs.

Bugs/Defects

Company Settings: Heading Colour

A bug where the field for Heading Colour had disappeared from the Online Brochure section of Company Settings has been resolved.
