Firstly we will begin with creating a blank document. Open Word and create an A4 document.
In this document we are going to add [[Tenant.Name]]
Once you had added this into the document, save the file with a relevant name. We are now going to upload the document to the system and test the tag.
For assistance on how to upload the document (a new or existing) to the system please see the following guide
Once the document is uploaded, find a property with multiple tenants linked to it.
Click into the Tenant’s tab on the left hand side > Actions along the Tenant > Print Agreement
The document should now generate.
For my property, the tenancy has 3 tenants linked to it. The following generates.
Only 1 tenant (1) name appears but 3 pages (2) have been created.
The reason for this is because the document will loop (a new page per tenant) per the amount of people linked to the tenancy. As there are 3 tenants on my tenancy, the system has produced 3 pages.
To avoid this happening, we can do the following.
Remove the [[Tenant.Name]] from your document and insert a table.
To do this click ‘Insert’ on the ribbon bar > Table. We only want one cell by one row (1x1 ).
Once you have created the table type into the table [[Tenant.Name]] (as shown below)
[[Tenant.Name]] |
To ensure the text is formatted correctly we will need to amend the margins of the table.
To do this hover over the table and a small icon will appear
Right click on the small icon > Table Properties. A new window will open.
Click on ‘Options’ and a new window will open.
Ensure all the cell margins are set to 0 then click OK and OK again and the margins will have been removed. (As shown below)
For the purpose of testing we will leave the table boarders on for now.
Save the document again and upload to the system. Generate the document once it has uploaded.
Now all Tenant names are listed on one page and the table creates a new row for each tenant.
We will now turn the table boarders off and the tag will then be ready to use in your agreement.
To turn the boarders off, select the table, on the ‘Home’ menu within the ribbon there will be a small icon within the paragraph section that looks like the follow
Click onto the icon, a menu will appear. From the menu select ‘No Boarder’ and this will remove all table boarders.
[[Tenant.Name]]
The table will now look like the above, like any normal text within a document. Once generated again the document will look as follows:
A full tenancy agreement tag list is available here and a sample of a completed tenancy agreement template is available below;
